SwadSathiRestaurant OS
Complete feature list

Everything SwadSathi does, explained properly

This is the whole system, not a highlights reel. Each section below is a module that ships with every installation — there is no premium tier hiding the useful half of the product.

01 — Floor

Tables & order taking

The floor plan is the home screen for anyone working service. Each table carries its own state and its own running amount, so you never have to open an order to find out whether a table owes money.

  • Four table states — free, order running, food ready to serve, needs clearing — each with its own colour
  • Running total on every occupied table, updated as dishes are added
  • One order per table, enforced — opening a table opens the order already on it, so two staff cannot start a duplicate
  • Seat capacity and guest count recorded per table, feeding the covers report
  • Table transfer and merge when a party moves or two tables join
  • Every order channel on one screen — dine-in, pick up, delivery and parcel
  • Counter order reached straight from the Tables screen for walk-in takeaway
  • Search anything — table, waiter or bill number, from one box
  • Order cancellation with a reason, attributed to the user who did it

Kitchen display — oldest first, delays in red
02 — Kitchen

Kitchen display & KOT printing

Built to be read from three metres away by someone holding a ladle. Tickets are large, sorted oldest first, and colour-coded by how long they have been open.

  • Instant arrival — a sent order is on the screen before the waiter walks away
  • Delay warning after a threshold you set, so a forgotten ticket turns red instead of ageing quietly
  • Station routing — the tandoor screen shows tandoor items, the Chinese counter shows its own
  • Two-step status — started, then ready; the waiter's phone is alerted on ready
  • Thermal KOT printing through the desktop helper, or screen-only if you prefer no paper
  • Notes and portion sizes on the ticket — "less spicy", "Pizza — Large" — never a separate verbal instruction
  • Dish names in the language the kitchen reads, independent of what the bill shows
  • Configurable card layout and font size for the screen you actually mounted
03 — Money

Billing, GST & payments

The part that has to be right every time. Every figure on a bill comes from your restaurant's own settings, and every settled bill stays retrievable.

  • GST configured once and applied consistently to every bill
  • Discounts by amount or percentage, with the reason recorded
  • Round-off handled by your rule, not by whoever is at the counter
  • Split payment — part cash, part QR, both amounts stored separately
  • Online payments via Razorpay — UPI and cards, with settlement tracking
  • Bill history with search, reprint and a visible audit of who settled what
  • Bill numbering in your own series, continuous across the business day
  • Revenue keyed to settlement time — an order taken at 23:50 and paid at 00:20 counts for the second day, so your day totals actually reconcile
  • Day open and day close with a cash count, locking the business date

Guest QR menu — no app install needed
04 — Guests

QR menu & contactless ordering

A printed QR sticker per table turns every guest's phone into an ordering terminal. It is the same menu your staff use, so a price change reaches the table instantly.

  • One QR code per table — the order arrives already knowing where it came from
  • QR codes generated and printable from inside the system
  • Live menu — mark a dish sold out and it greys out on every phone at once
  • Portion sizes and prices shown exactly as configured
  • Guest UPI payment, or leave settlement to the waiter
  • Works in any phone browser — nothing to download, nothing to sign up for
  • Menu language in English, Hindi or Gujarati
  • Parcel and pick-up QR flow for takeaway counters
05 — Floor staff

Waiter Android app

A separate Android app, not a shrunken website. Portrait, one-handed, and deliberately limited to what a waiter needs so nobody has to scroll past payroll to find a table.

  • Live floor plan with table states and running amounts
  • Fast dish entry — by category, by personal favourites, or by typing the dish number
  • Portion sizes chosen at the moment the dish is added, with their own prices
  • Kitchen notes per dish or for the whole table
  • Ready alert on the waiter's own phone — no walking to the pass to check
  • Bill at the table — prepare, take cash or QR or a split, and print
  • Guest count and customer by mobile number, so regulars are recognised
  • Own shift figures only — each waiter sees their orders, covers and takings, nobody else's
  • Multi-language dish names — English, Hindi and Gujarati
  • Android 7.0 and above; one permission (internet) and no ads or tracking

Windows desktop app — billing counter with direct printing
05b — Desktop

Windows desktop app

The same system in a real desktop window, for the people who sit at a machine all shift. Its main advantage over the browser is printing: bills and KOTs go straight to the thermal printer with no print dialog and no page margins to fight.

  • Admin, Manager and Waiter all sign in — each still sees only their own screens
  • Direct thermal printing — no browser print box, no "fit to page" surprises
  • Multiple printers — bill printer at the counter, KOT printers per station
  • Opens on boot and stays in the tray, so the counter machine is always ready
  • Full screen, no browser chrome — staff cannot wander off into other tabs
  • Windows 10 and above, installed from a single setup file

The desktop app and the browser talk to the same server, so a bill settled on the desktop shows on the manager's phone immediately. Use whichever suits each station.

07 — Supply

Stock, vendors & expenses

Stock control

  • Ingredient-level stock with units
  • Opening and closing counts per day
  • Low-stock alerts before service, not after
  • Wastage recorded with a reason
  • Stock snapshots so a past day can be re-examined

Vendors & purchases

  • Vendor directory with contact and terms
  • Purchase entries against a vendor
  • Outstanding payable per vendor
  • Purchase history by item

Expenses

  • Daily expense heads — gas, milk, repairs, salary advance
  • Attach the expense to a business date
  • Expenses net off in the profit view
08 — Team

Staff, roles, scheduling & payroll

Accounts & roles

  • Five role types: Super Admin, Manager, Counter, Waiter, Kitchen
  • Permissions decided server-side, not hidden in the browser
  • Per-user sidebar preferences
  • Assign staff to a specific outlet

Scheduling

  • Shift rosters by day and section
  • Who is on the floor right now
  • Planned versus actual coverage

Payroll

  • Salary records per staff member
  • Advances and deductions
  • Monthly payroll register
  • Note: attendance is entered by the manager — there is no punch clock in this version
09 — Repeat business

Customers, loyalty & bookings

Customer CRM

Customers identified by mobile number, with visit count, total spend and order history.

Loyalty points

Points earned on spend and redeemed against a bill, with the balance visible at billing time.

Coupons & gift cards

Discount coupons with validity and usage limits, plus stored-value gift cards.

Reservations & waitlist

Table bookings by time and party size, and a waitlist for walk-ins on a busy evening.

10 — Visibility

Reports & analytics

Reports default to today, both ends, and refuse an unparseable date rather than quietly substituting today — so a report you print is a report you can trust.

Sales

  • Sales by day, range, outlet and channel
  • Dine-in vs pick-up vs delivery vs parcel
  • Payment mode split — cash, UPI, card
  • Discount and cancellation totals

Operations

  • Covers and average bill value
  • Hourly load, so you staff the right hours
  • Item velocity — what actually sells
  • Average kitchen time per ticket

People & exports

  • Per-waiter orders, covers and takings
  • Cancellations attributed to a user
  • Printable report layouts
  • Export for your accountant
11 — Control

Multi-outlet, settings & security

Multi-outlet

  • Each outlet keeps its own tables, menu, stock and staff
  • Group-level consolidated sales and branch comparison
  • Staff scoped to the outlet they work at
  • Per-outlet tax and printing settings

Security & audit

  • Audit log — every significant edit attributed to a user with a timestamp
  • Optional IP restriction so the system only opens on your premises
  • Per-role restriction keys for finer control
  • Notification centre for day-open reminders and low stock
  • CSRF protection on every write; sessions expire
